We introduced the secure file exchange in O-LAS last year and since we’ve been receiving a lot of questions on how exactly it works. Here’s a short manual regarding this feature.
During the on-boarding process we help our customers to set up their account and populate all the relevant information on their staff. That includes importing all of the data into O-LAS, our LMS system. Some users have a direct integration between their HR system and our LMS but a lot of customers still need to have employees data imported from spreadsheets. Email, as we all know, is not a secure way to send classified or sensitive data so we embedded encrypted File Exchange into our LMS to provide a safe connection between administrator and our support team. We advise all our customers to use this feature to make sure all the data are secure.
- To access the File Exchange click on the Settings tab and File Exchange. You will be brought to the screen as below where you have access to browse for and upload a file to your directory.
- To upload a file click on the Choose File in the Upload files box, select the file and click on Upload.
- Once you upload the file, you will see it in the list of files on the right hand side.
- To edit (remove, move or delete a file), click on the diamond icon to the left of the file name and you will then be prompted to rename or have the option to move or delete the file.
Please note you can store up to 3 files within the file exchange at any one time. Access to any files within this folder is restricted per client account. Level 1, 2 and 3 administrators have access to the file exchange directory. Once logged the transfer of files is secured and encrypted using an SSL connection.
